This policy explains what personal data Shawon Ad Agency (“we”, “us”) collects through shawonadagency.com, why we collect it, how long we keep it, and what you can ask us to do with it. We have written it in plain language rather than boilerplate, because a privacy policy nobody can read protects nobody.
1. Who is responsible for your data
Shawon Ad Agency is the controller of the personal data described here. You can reach us at any time at shawonparvez34@outlook.com for any question or request relating to your data.
2. What we collect, and when
a. Information you send us through the enquiry form
When you submit the form on our contact page, we receive the information you choose to enter: your name and business email (both required), and optionally your phone, WhatsApp or WeChat handle, your company name, your business direction, the service you are interested in, and your description of the project. We also record the time of submission.
We ask for a business email rather than a personal one, and we ask you not to include sensitive personal information, credentials, or confidential third-party data in the free-text field.
b. Information you send us through other channels
If you contact us by email, WeChat, WhatsApp or Telegram, we hold that correspondence and whatever details you include in it. Messages sent over WeChat, WhatsApp and Telegram are also processed by those platforms under their own privacy policies, which we do not control.
c. Analytics data collected automatically
We use Google Analytics 4 to understand which pages are read and which are ignored. This collects your approximate location (derived from IP address and not stored by us in raw form), device and browser type, referring source, and the pages you visit. We use it in aggregate. We do not attempt to identify individual visitors from it, and we do not combine it with your enquiry to build a profile.
d. Your language preference
When you switch between English and 中文, we store that single choice in a cookie so the site opens in the right language next time. It contains nothing else.
3. Why we hold it, and on what basis
- To answer your enquiry and prepare a proposal. This is the reason the form exists. The basis is your consent, given by ticking the consent box, and our legitimate interest in responding to people who ask us to.
- To deliver services you have engaged us for, where the basis is performance of our contract with you.
- To improve the website, using analytics, on the basis of legitimate interest in understanding whether our own site works.
- To meet legal, tax and accounting obligations where those apply to us.
We do not sell your data. We do not share it with advertisers or data brokers. We do not add you to a marketing list because you sent an enquiry.
4. Who else can see it
Your data reaches a small number of service providers who process it on our behalf:
- our email provider, which delivers and stores the enquiry notification;
- our website host, on whose servers the site and any form log sit;
- Google, as the provider of Google Analytics and Search Console.
We may also disclose data where we are legally required to. Because we work across borders, your data may be processed in a country other than your own, including outside the EEA or the UK. Where that happens we rely on the safeguards offered by the provider concerned.
5. How long we keep it
- Enquiries that do not become projects: up to 24 months from your last contact with us, then deleted.
- Client records: for the duration of the engagement, and for as long afterwards as tax and accounting rules require.
- Analytics: retained by Google according to the retention period set on the property, currently 14 months.
- Language cookie: until it expires or you clear your browser storage.
6. Your rights
Depending on where you live, you may have the right to ask us for a copy of the data we hold about you, to correct it if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time.
To exercise any of these, email shawonparvez34@outlook.com. We will respond within 30 days. You do not need to give a reason, and asking will never affect how we treat an active project. If you believe we have handled your data badly, you may also complain to the data protection authority where you live.
7. Security
The site is served over HTTPS, the enquiry form carries spam and abuse protection, and access to enquiry data is limited to the people who need it to reply to you. No system is perfectly secure, and we will not claim otherwise; if a breach ever affects your data we will tell you and the relevant authority as required.

9. Children
This is a business-to-business service. It is not directed at children, and we do not knowingly collect data from anyone under 16. If you believe a child has sent us data, tell us and we will delete it.
10. Changes
If we change this policy we will update the date at the top. Material changes affecting how we use data you already gave us will be communicated directly where we hold a contact address for you.

当您提交联系页面的表单时，我们会收到您填写的内容：姓名与商务邮箱（必填），以及选填的电话、WhatsApp 或微信号、公司名称、业务方向、意向服务与项目需求描述。我们同时记录提交时间。
我们建议您填写商务邮箱而非个人邮箱，并请勿在自由填写栏中包含敏感个人信息、账号密码或第三方保密资料。
b. 您通过其他渠道发送的信息
若您通过邮件、微信、WhatsApp 或 Telegram 与我们联系，我们会保留相关往来记录及您在其中提供的信息。经由微信、WhatsApp 与 Telegram 传输的消息同时受各平台自身隐私政策约束，该部分不在我们控制范围内。
c. 自动收集的分析数据
我们使用 Google Analytics 4 了解哪些页面被阅读、哪些被忽略。该工具会收集您的大致地理位置（由 IP 推断，我们不保存原始 IP）、设备与浏览器类型、来源渠道及浏览页面。我们仅以汇总方式使用这些数据，不会据此识别具体访客，也不会将其与您的咨询信息合并建立用户画像。
d. 语言偏好
当您在英文与中文之间切换时，我们会通过 Cookie 记录这一项选择，以便您下次访问时直接进入对应语言版本。该 Cookie 不包含其他任何信息。
3. 使用目的与法律依据
- 回复您的咨询并准备方案。这是表单存在的目的。依据为您勾选同意框所给予的同意，以及我们回应主动联系者的合法利益。
- 交付您委托的服务，依据为履行与您之间的合同。
- 改进网站，通过分析工具实现，依据为了解自身网站运行状况的合法利益。
- 履行适用于我们的法律、税务与会计义务。
我们不出售您的数据，不与广告商或数据经纪商共享，也不会因为您提交了一次咨询就将您加入营销名单。
4. 哪些第三方可能接触到您的数据
您的数据会经过少数代表我们处理数据的服务商：
- 邮件服务商，用于投递与存储咨询通知；
- 网站主机服务商，网站及表单日志存放于其服务器；
- Google，作为 Google Analytics 与 Search Console 的提供方。
在法律要求的情况下我们也可能披露数据。由于我们从事跨境业务，您的数据可能在您所在国家/地区之外被处理，包括欧洲经济区或英国境外。发生此类情形时，我们依赖相关服务商提供的保障措施。
5. 保存期限
- 未转化为项目的咨询：自最后一次联系起最长保存 24 个月，随后删除。
- 客户资料：保存至合作期间结束，并在此后按税务与会计规定所需期限继续保存。
- 分析数据：由 Google 按所设保留期限存储，目前为 14 个月。
- 语言 Cookie：至其到期或您清除浏览器存储为止。
6. 您的权利
根据您所在地区的法律，您可能有权要求获取我们持有的您的数据副本、更正错误信息、删除数据、限制或反对我们的使用方式，以及以可携格式接收数据。在我们依据您的同意进行处理的情形下，您可随时撤回同意。
如需行使上述权利，请发送邮件至 shawonparvez34@outlook.com。我们将在 30 天内回复。您无需说明理由，提出请求也绝不会影响我们对进行中项目的服务态度。若您认为我们处理数据的方式不当，也可向您所在地的数据保护监管机构投诉。
7. 安全措施
本站通过 HTTPS 提供服务，咨询表单设有防垃圾与防滥用机制，咨询数据的访问权限仅限于需要回复您的人员。没有任何系统是绝对安全的，我们不会作此声称；若发生影响您数据的安全事件，我们将按规定通知您及相关监管机构。

9. 未成年人
本服务面向企业客户，并非面向未成年人，我们不会有意收集 16 岁以下人士的数据。若您认为有未成年人向我们提交了数据，请告知我们，我们将予以删除。

如本政策发生变更，我们将更新顶部的日期。若变更实质影响我们对您已提供数据的使用方式，我们将通过所持有的联系方式直接告知您。
